Free Lead Generation Report Template [Sheets & CRM Framework] for B2B Teams
You can generate hundreds of leads every month and still struggle to understand why your sales pipeline isn't growing.
The problem isn't always lead generation itself. Sometimes, you simply don't have a clear way to track where leads come from, which ones convert, and how much revenue they actually produce.
A lead generation report template helps you connect these numbers and turn scattered data into better decisions.
Whether you use Google Sheets, Excel, or a CRM, the right reporting framework makes it easier to identify winning campaigns and improve sales performance.
In this guide, you'll learn how to:
- Access and customize free lead generation report templates for Sheets and CRM.
- Track essential B2B metrics with formulas and examples.
- Measure lead quality, conversion rates, and campaign ROI.
- Connect lead generation reporting with automated outreach using Oppora.
What Should a B2B Lead Generation Report Include?
Before choosing a template, decide what information your team needs to track. A report is only as useful as the data behind it.
Your lead generation report should cover four areas: lead acquisition, lead qualification, sales progression, and revenue performance.
1. Lead acquisition data
This section explains where your leads originate and how much it costs to generate them.
Include fields such as:
- Lead ID
- Company name
- Contact name and business email
- Lead creation date
- Lead source
- Campaign name
- Advertising or campaign cost
- Landing page or conversion point
These fields help you compare channels such as LinkedIn, Google Ads, organic search, webinars, referrals, and outbound email.
2. Lead qualification data
Not every person who submits a form or replies to an email is ready to buy. Your report needs to distinguish potential customers from contacts who don't fit your ideal customer profile.
Track fields such as:
- Lead status
- Job title and department
- Company size and industry
- ICP fit or lead score
- Marketing-qualified lead (MQL) status
- Sales-qualified lead (SQL) status
- Qualification date
- Disqualification reason
These fields help your team understand whether a campaign attracts the right people rather than simply generating a large contact list.
3. Sales activity and pipeline data
Once a lead is ready for sales, you need visibility into what happens next.
Include the assigned sales representative, first-contact date, last activity date, next follow-up date, meeting status, opportunity stage, and expected deal value.
A next-action field is particularly useful. It shows whether a promising lead is progressing or sitting untouched in your pipeline.
4. Revenue and attribution data
The final section connects lead generation to business outcomes.
Track closed-won deals, actual revenue, acquisition cost, sales cycle length, and the original lead source.
Keep original source and latest campaign as separate fields. This prevents a recent interaction from accidentally replacing the channel that initially brought the prospect into your funnel.
For more complex B2B journeys, you can also track first-touch, last-touch, and campaign influence separately.
Free Lead Generation Report Templates You Can Copy
Now that you know what information to track, you can choose a template that fits your team's reporting needs. Use the Google Sheets framework if you want a simple spreadsheet, or use the CRM framework if you need to connect lead activity with sales opportunities and revenue.
The following examples provide the fields and structure you can copy into your own reporting system.
Template 1: Google Sheets Lead Generation Report
Use this template to track individual leads, compare acquisition channels, and monitor conversion progress in one workbook.
Copy this column structure into your Google Sheets or Excel workbook:
Add these summary metrics to a separate Dashboard tab:
For example, if column H contains lead statuses, you can count qualified leads with this formula:
=COUNTIF(H2:H,"Qualified")
If column N contains deal status and column M contains opportunity value, calculate closed-won revenue with:
=SUMIF(N2:N,"Closed Won",M2:M)
Adjust the column references to match your workbook. For reliable reporting, make sure each lead has a unique identifier and that your team uses consistent status values.
Template 2: CRM Lead Generation Report
If your team already uses a CRM, build your report around the journey from first contact to closed deal.
Use the following framework to identify which sources generate qualified leads and which ones contribute to the pipeline.
You can use these fields to build CRM reports for lead source performance, qualification rates, sales follow-up, pipeline value, and campaign revenue.
The exact setup depends on your CRM and the fields available in your account. Keep the framework focused on the information your team needs to make decisions.
Which template should you use?
Choose Google Sheets if you need a lightweight reporting system that is easy to customize and share. Choose a CRM report if you need to connect lead records with sales activity, opportunity stages, and revenue.
You can also use both. A spreadsheet can help you test your reporting structure before moving recurring reports into your CRM.
How to Build a Lead Generation Report in Google Sheets
The template above gives you the basic structure. Now you can turn it into a working report that updates as your team adds leads and records campaign results.
Google Sheets is a practical starting point when you need a flexible reporting system without introducing another paid platform. It works particularly well for founders, small sales teams, and businesses that are still defining their reporting process.
Step 1: Create a lead tracking sheet
Open a new Google Sheets workbook and create a tab called Lead Tracker.
Add the column headers from the Google Sheets template above. Use one row per lead record, with a unique ID to prevent duplicate contacts from inflating your totals.
For more advanced reporting, maintain separate tabs for campaign spend, sales activities, and opportunities. This makes it easier to track multiple deals or campaigns associated with the same company.
Step 2: Standardize lead statuses and sources
Your report will become unreliable if every salesperson uses different terminology.
Create consistent dropdown values for lead status, such as:
- New
- Contacted
- Qualified
- Opportunity
- Closed Won
- Closed Lost
Likewise, standardize lead sources such as Organic Search, LinkedIn, Paid Search, Referral, Webinar, and Outbound Email.
Use data validation to restrict entries to these approved values. You can then filter, group, and compare results without manually correcting inconsistent labels.
Step 3: Add a dashboard tab
Create another tab called Dashboard.
This tab should summarize the most important metrics without requiring anyone to inspect every lead record.
Start with total new leads, qualified leads, lead-to-opportunity conversion rate, cost per lead, open pipeline value, closed-won revenue, and overdue follow-ups.
You can use formulas such as COUNTIF, COUNTIFS, SUMIF, and SUMIFS to calculate these values automatically.
For example, if column H contains lead statuses, this formula counts qualified leads:
=COUNTIF(H2:H,"Qualified")
To calculate the value of closed-won deals when column N contains the deal status and column M contains the deal value, use:
=SUMIF(N2:N,"Closed Won",M2:M)
Adjust the column references to match your own workbook.
Step 4: Break down results by source and campaign
A total-leads number won't tell you where to invest your budget.
Add pivot tables or charts to compare leads, qualified leads, and closed deals by source, campaign, and month.
A simple source-level table could look like this:
These are illustrative figures, not industry benchmarks.
Notice how LinkedIn generates the highest number of leads, but organic search produces more customers despite generating fewer leads.
That difference is precisely why your report should track the entire funnel rather than focusing on lead volume alone.
Step 5: Set a regular reporting schedule
Decide who updates the data, who checks its accuracy, and how often the team reviews performance.
A practical schedule is to monitor operational activity daily, review lead quality and conversion weekly, and evaluate acquisition cost and revenue monthly.
For a small team, a short weekly review is often enough to identify overdue follow-ups, declining conversion rates, and campaigns that need attention.
Lead Generation Report Example: From 500 Leads to Actual Revenue
With the template in place, you can start comparing campaign performance and understanding which channels contribute to sales.
Imagine a B2B IT services company running three campaigns during September. Its team wants to understand which campaign produces the strongest sales outcomes.
Here is its sample monthly report:
The numbers are hypothetical and intended to demonstrate the reporting method.
What does this report tell you?
LinkedIn generates the most leads, but its campaign spend is also the highest.
Google Ads generates fewer leads, while outbound email produces three customers from a smaller campaign budget.
Let's compare the cost per lead:
- LinkedIn: $4,000 ÷ 200 = $20 per lead.
- Google Ads: $3,000 ÷ 150 = $20 per lead.
- Outbound Email: $1,000 ÷ 150 = $6.67 per lead.
Outbound email has the lowest acquisition cost at the initial lead stage. However, you should not conclude that it is automatically the best channel without checking lead quality, sales effort, and revenue.
Now calculate customer acquisition cost using campaign spend divided by new customers:
- LinkedIn: $4,000 ÷ 4 = $1,000 per customer.
- Google Ads: $3,000 ÷ 3 = $1,000 per customer.
- Outbound Email: $1,000 ÷ 3 = $333.33 per customer.
In this example, outbound email produces the lowest campaign-level customer acquisition cost.
However, these calculations exclude any unreported sales salaries, software subscriptions, overhead, and other acquisition expenses. They represent campaign-level costs, not fully loaded CAC.
The next step is to investigate whether the customers have comparable deal sizes, retention potential, and profitability.
This is how a lead generation report moves from simple activity tracking to better budget decisions.
12 Lead Generation Metrics Every B2B Team Should Track
A useful report balances volume, efficiency, quality, and revenue. Tracking too many metrics can make the dashboard difficult to use, so begin with the following indicators.
1. Total leads generated
This is the number of new lead records created during a reporting period.
Track it by source, campaign, and date to understand whether your lead generation activity is growing or declining.
Always define whether you count unique contacts, form submissions, or new qualified records. Otherwise, repeat submissions and duplicates can inflate the total.
2. Marketing-qualified leads (MQLs)
MQLs are leads that meet your agreed marketing qualification criteria.
Your team might use company size, industry, role, engagement, or a combination of these factors to decide which contacts deserve further attention.
3. Sales-qualified leads (SQLs)
SQLs meet the criteria your sales team uses to identify realistic sales opportunities.
Comparing SQLs with MQLs helps you assess whether marketing is passing relevant prospects to sales.
4. Lead qualification rate
This metric shows the percentage of leads that meet your qualification criteria.
Formula:
Qualification Rate = Qualified Leads ÷ Total Leads × 100
If you generate 500 leads and qualify 125, your qualification rate is 25%.
A declining rate may indicate poor targeting, inconsistent qualification rules, or a change in campaign audience.
5. Cost per lead (CPL)
CPL measures the average amount spent to generate one lead.
Formula:
CPL = Lead Generation Spend ÷ Total Leads
If a campaign costs $2,400 and generates 120 leads, your CPL is $20.
CPL is useful for comparing campaigns, but a low number doesn't necessarily mean strong performance. Cheap leads that never convert may cost your business more in the long run.

This metric shows how much you spend to generate a lead that meets your qualification criteria.
Formula:
Cost per Qualified Lead = Campaign Spend ÷ Qualified Leads
If you spend $2,400 to generate 40 qualified leads, your cost per qualified lead is $60.
This is often more informative for B2B teams that sell high-value products or services.
7. Lead-to-opportunity conversion rate
This metric shows the percentage of leads that become sales opportunities.
Formula:
Lead-to-Opportunity Rate = Opportunities Created ÷ Eligible Leads × 100
If 30 opportunities emerge from 150 eligible leads, the conversion rate is 20%.
For accurate reporting, define which lead cohort you are measuring and allow enough time for leads to progress through your sales cycle.
8. Lead-to-customer conversion rate
This metric tracks how many leads eventually become customers.
Formula:
Lead-to-Customer Rate = New Customers ÷ Eligible Leads × 100
If 10 customers come from 250 eligible leads, the conversion rate is 4%.
Avoid comparing newly generated leads with customers who converted from much older cohorts. This can distort performance, especially in businesses with long sales cycles.
9. Meeting booking rate
For outbound B2B teams, booked meetings provide a useful indicator of prospect engagement.
You can calculate the percentage of eligible leads that book meetings, or the percentage of positive replies that result in meetings.
State the denominator clearly in your report so the team doesn't confuse these two measures.
10. Pipeline value
Pipeline value is the total value of open sales opportunities.
If your CRM contains 15 open opportunities worth $8,000 each, the unweighted pipeline value is $120,000.
This is a potential revenue figure, not guaranteed income.
For forecasting, your team can calculate weighted pipeline value by multiplying each opportunity's value by its estimated probability of closing.
11. Customer acquisition cost (CAC)
CAC measures the total cost of acquiring customers.
Formula:
CAC = Total Acquisition Costs ÷ New Customers Acquired
Depending on your reporting goals, include advertising, marketing tools, sales software, and relevant team costs.
If your acquisition costs total $12,000 and you acquire 12 new customers, CAC is $1,000.
Use the same cost definitions across reporting periods to make comparisons meaningful.
12. Return on marketing investment
Return on investment helps you understand whether your lead generation investment produces enough financial value.
For a simple campaign-level calculation, you can use:
Campaign ROI = (Attributed Gross Profit − Campaign Cost) ÷ Campaign Cost × 100
Suppose a campaign costs $5,000 and produces $15,000 in attributable gross profit.
Its campaign ROI is:
($15,000 − $5,000) ÷ $5,000 × 100 = 200%.
Use gross profit rather than booked revenue when you want to assess profitability. If you use revenue instead, label the result clearly as a revenue-based return calculation.
How to Calculate Lead Generation ROI, CPL, and Conversion Rates
Once you have selected your metrics, the next challenge is making sure everyone calculates them consistently.
Different teams sometimes use the same metric name but apply different formulas. This creates confusion during performance reviews and makes channel comparisons unreliable.
Start by documenting the calculation for each KPI.
Use consistent reporting periods
If you report September campaign spend against customers who converted in August, your calculations won't represent the same group of prospects.
For acquisition and conversion reporting, cohort-based analysis is often more useful than simply comparing all activity recorded during one calendar month.
You can still maintain a monthly dashboard for management. Just make sure the team understands whether each metric measures activity during the month or outcomes from a defined lead cohort.
Set targets based on your own sales process
Avoid treating generic industry averages as universal goals.
A company selling a $500 monthly service may have a very different acceptable acquisition cost from a company selling a $50,000 enterprise contract.
Use historical performance, gross margins, average contract value, sales cycle length, and close rates to set realistic targets.
As your report collects more reliable data, you can refine those targets and compare campaigns against your own baseline.
How to Tell If Your Leads Are Actually Worth Pursuing
Lead volume tells you how many contacts you generate, but it doesn't tell you whether those contacts are likely to become customers.
A campaign can produce hundreds of leads and still perform poorly if those contacts lack purchasing authority, fall outside your target market, or never respond to outreach.
For B2B teams, the best way to assess lead quality is to look at fit, engagement, and progression together.
Define what makes a lead qualified
Create a consistent qualification framework based on your ideal customer profile.
You might assess:
- Industry and company size.
- Job title and decision-making authority.
- Business need or relevant buying signal.
- Geographic or operational fit.
- Engagement with your outreach or marketing content.
Assign scores only when the criteria have a clear business purpose. A long scoring model is not automatically better than a simple one your sales team can apply consistently.
Compare lead quality across channels
Suppose two campaigns generate 100 leads each.
Campaign A produces 30 qualified leads, while Campaign B produces 10. Even if both campaigns have the same CPL, Campaign A may be the stronger source of potential pipeline.
Now compare their opportunity and customer conversion rates. If Campaign B's smaller group closes more frequently, you may have discovered a high-intent audience worth investigating.
This is why your lead generation report should show three layers of performance:
- Lead volume: How many leads did you generate?
- Lead quality: How many matched your qualification criteria?
- Sales outcomes: How many became opportunities and customers?
Together, these metrics help you make more informed decisions about targeting, messaging, and budget allocation.
How to Build a CRM Lead Generation Report for Sales and Marketing
Google Sheets gives you flexibility, but manually maintaining lead records becomes harder as your team grows.
When several sales representatives handle hundreds of prospects, you need consistent records of contact activity, lead ownership, pipeline movement, and outcomes.
A CRM lead generation report connects these activities to the same underlying customer records.
Choose the CRM fields that matter
Your CRM should contain the fields needed to understand the lead journey, including:
- Original source and campaign.
- Lead status and qualification date.
- Assigned owner and next action.
- First contact and most recent activity.
- Opportunity stage and deal value.
- Closed-won or closed-lost outcome.
- Reason for disqualification or lost opportunity.
Avoid creating fields simply because your CRM supports them. Every field should help your team make a decision, automate a process, or improve reporting accuracy.
Connect marketing and sales data
Your marketing platform may show how many people submitted a form, while your CRM shows how many became opportunities.
If these systems don't share consistent records and campaign identifiers, you may struggle to connect acquisition activity with revenue.
Use integrations or controlled data imports to keep the underlying information aligned.
Make sure your team agrees on how to handle duplicate contacts, returning leads, reopened opportunities, and deals involving multiple contacts.
Use reporting to identify bottlenecks
A CRM report becomes valuable when it highlights a specific problem.
For instance, if qualified leads consistently wait several days for their first sales contact, the issue may be follow-up capacity rather than lead quality.
If meetings are happening but opportunities aren't progressing, review qualification standards, discovery conversations, and the fit between your offer and the prospect's needs.
The goal is not simply to produce more reports. It is to identify the next action that can improve pipeline performance.

Frequently Asked Questions
What should a lead generation report include?
A lead generation report should include lead volume, source, campaign, cost, qualification status, conversion rates, sales opportunities, and revenue outcomes. B2B teams should also track lead ownership, follow-up activity, and deal progression to understand where prospects are getting stuck.
How do I create a lead generation report in Google Sheets?
Start with the Google Sheets template in this guide. Add columns for lead details, source, campaign, status, owner, and deal value, then create a dashboard with formulas for lead counts, qualification rates, cost per lead, and revenue. Use dropdowns, pivot tables, and charts to keep reporting consistent.
Is there a free lead generation report template for CRM?
Yes. You can use the CRM framework in this guide to structure reports around original lead source, qualification status, lead owner, meetings, opportunity stages, deal value, and outcomes. Adapt the fields to your CRM's reporting capabilities and the information your team already records.
What is the difference between a lead generation report and a CRM report?
A lead generation report focuses on how effectively your business attracts and converts leads. A CRM report focuses on customer and prospect records, interactions, pipeline stages, and sales outcomes. Combining the two gives you a more complete view of acquisition performance.
How often should you review lead generation reports?
Review operational metrics such as replies, lead assignment, and overdue follow-ups daily or weekly, depending on campaign volume. Review qualification rates and funnel conversion weekly, then evaluate acquisition costs, revenue, and campaign profitability monthly or after sufficient conversion data becomes available.
